GRÜN VEWA manages around 12 million euros in donations from around 1.100 German Rotary clubs

Rotary International is the oldest service club organization in the world. Rotary names humanitarian service, advocacy for peace and understanding, and service in everyday life as its goals. In Germany, around 56.000 German Rotarians in 15 districts and almost 1.100 clubs are collecting donations between 10 and 12 million euros to achieve these goals. Rotary Deutschland Gemeindienst eV (RDG) relies on industry software to manage members and donations GRÜN VEWA.

In Germany is Rotary set up on three levels: Each Rotarian is organized in a regional Rotary club. These clubs in turn are grouped into districts. Over 56.000 members are organized in more than 1.000 Rotary clubs, which are divided into 15 districts across Germany. Some of the clubs also have their own development associations that collect donations for local projects. The Rotary Foundation, the US-based foundation of Rotary International, supports international projects through grants.

The administration of these grants and grants takes place via Rotary Germany Community Service (RDG) eV in Düsseldorf. All donations collected flow 100% into the donation projects. The administrative costs of Rotary Germany Community Service as well as the infrastructure are financed through membership fees. The membership fee is currently 12 euros per member per year.

Special requirements for the software

Unlike most charitable organizations, Rotary Deutschland Gemeindienst e. V. all donations are allocated to the three levels. All donations must therefore be assigned to a project (1st level), a club (2nd level) and a district (3rd level) and booked accordingly in the software. Not an easy task for the software, as multiple clubs and districts can collect donations for the same project, such as current disaster relief. Banking software has been used to manage membership fees, donations and spending on the donation projects since the late 80s.

GRÜN VEWA - flexible software for high requirements

Rotary Deutschland Gemeindienst eV receives between 10 and 12 million euros in donations per year. These donations are distributed annually to around 2.400 donation projects. Due to the increased requirements, larger projects and growing structures at Rotary in Germany, limits were reached, which made the use of modern, flexible industry software necessary. Therefore, it was decided to use the GRÜN VEWA software family.

All donation projects of the RDG are carried out via the back office software GRÜN VEWA managed. New donation projects are created in VEWA and assigned to the three levels. All donation projects are automatically published via an interface in RDG Online, a web portal developed by RDG especially for Rotary clubs in Germany. The treasurers of all Rotary clubs have direct access to RDG Online and can, for example, set up new donation projects. These donation projects are automatically transferred to the VEWA back office solution and approved there by RDG in Düsseldorf.

All online donations for RDG are made in GRÜN VEWA manages and automatically assigned to the three levels. The collection of donations, the booking of donations and the distribution of donations to the donation projects are also carried out via GRÜN VEWA. So-called AVIS numbers are assigned so that donation pledges can be processed clearly. These numbers must be given by the donor in the purpose of the transfer. In this way, the donations can be correctly recorded and clearly assigned to the projects.

Statistics and analysis of donations

Rotary Deutschland Gemeindienst e. V. extensive statistics and analyzes on the amount of donations and their use to the clubs of the 15 districts. Statistics can also be created on funding projects in the individual recipient countries, according to statutory purposes, time periods and other selection criteria. The data of the statistics and analyzes, the Rotary Deutschland Gemeindienst e. V., come from individually set up reports.
